Courtesy is the key to effective telephone communication.Greet all callers pleasantly,keep your voice friendly and your manner pleasant.You should be as helpful as you can.If you know who the caller is,you might say something like this:"Good morning,Ms.Smith" or ”Hello,Bill.“ If you do not know who the caller is,identify yourself first—”Mrs.Rose speaking“ or ”Mr.Black.“ When answering the telephone for a department,be certain to identify both the department and yourself—"Accounting Department,Ms.Park" or "Information Center,Robert Wilson." A secretary usually answers the employer's telephone like this:"Miss Sweet's office" or "Miss Sweet's office ,Ms.Tree speaking"
Your voice should be friendly and your manner courteous,regardless of who is calling.This manner is especially important when talking to outside callers,Show the caller will know you are listening,occasionally acknowledge comments wit a"Yes"or with some other simple responses.Use the caller'sname at least once before hanging up,and end the call with a wor like"Thank you for calling us ,Dr.Clinton" or "We will look into the matter for you right away,Ms.Fish"
